Connection Card Pro includes several tools for keeping track of conversations, pastoral context, follow-up, and ongoing care.
They are designed to work together, but each serves a different purpose:
| Tool | Think of it as… | Example |
|---|---|---|
| Interaction | What happened? | “James called Robert and spoke with him about how his family is doing.” |
| Note | What should we remember? | “Robert shared some additional pastoral context that should only be visible to the pastoral team.” |
| Follow-Up Task | What needs to happen next? | “Call Robert next Thursday to check in.” |
| Assignment | Who has ongoing responsibility for this person? | “Pastor James is responsible for staying connected with Robert.” |
| Profile Highlight | What is especially important right now? | “Family crisis — keep this visible through August 15.” |
Understanding the difference helps your church preserve useful history without turning every conversation into a task or every task into a permanent assignment.
An Interaction records contact or communication with someone.
For example:
Interactions can record who handled the conversation, who initiated it, how it happened, its category, its outcome, and an optional summary.
Interactions become part of the person's shared history and are a good way to answer:
When did we last connect with this person, and what happened?
Interactions are not designed for private or sensitive pastoral information. Use a Note when information needs restricted visibility.
A Note stores information worth keeping on a person's profile.
For example:
Notes can be visible to all permitted admin users, restricted to particular admin roles or users, or visible only to the author.
That makes Notes especially useful when some information should be available to your pastoral team without being visible to every administrative user who can access the person.
A Follow-Up Task represents one specific action that someone needs to complete.
For example:
A task can be assigned to an admin user, given a due date, and optionally configured with an App, Email, or Text reminder.
Once that action has been completed, the task is finished.
Tasks can be created directly or while adding a Note or Interaction.
A person assignment is different from a Follow-Up Task.
A task might say:
Call Robert on Thursday.
An assignment says:
Robert is someone James is responsible for continuing to care for.
Completing one Follow-Up Task does not end a person assignment.
Assignments are useful when your church divides ongoing care between pastors, staff members, ministry leaders, or others who are responsible for particular people.
Notes and Interactions can also be displayed as Profile Highlights.
A highlight keeps an important current situation visible near the top of the person's profile rather than leaving it buried in historical information.
You might use one for:
A highlight can optionally remain displayed through a specified date, or it can be cleared manually.
When a highlight originates from a restricted Note, the Note's visibility continues to apply to that highlight.
You do not have to choose only one.
For example, after a pastoral conversation you might:
Together, these tools help your church remember what happened, preserve appropriate context, know what needs to happen next, and make sure people do not get overlooked.
