Creating Follow-Up Tasks and Reminders

Follow-Up Tasks help your church turn something that needs attention into a clear action assigned to a specific person.

Instead of simply remembering that “someone needs to follow up,” create a task that identifies what needs to happen, who should do it, and when it should be done.

When to use a Follow-Up Task

Use a task for one specific action.

For example:

  • Call to check in next week.
  • Send information about small groups.
  • Arrange a pastoral visit.
  • Contact a first-time guest.
  • Ask whether the family still needs assistance.
  • Follow up after someone missed an appointment.

Once that action has been completed, the task is complete.

For ongoing responsibility for a person, use a person assignment instead.

Create a Follow-Up Task

Follow-Up Tasks can currently be created:

  • Directly from a person's available action menu (to the right of the person on the Person list)
  • From a Note (Person's profile > Note icon)
  • From an Interaction (From the action menu top right of their profile page) 

Choose New Follow-Up Task to begin.

What needs to be done?

Enter a short, actionable description of the task.

For example:

Call to check in and arrange a pastoral visit

A good task description should make it obvious to the assigned person what action is expected.

Add optional details

Use Details when a little additional information will help the person completing the task.

Follow-Up Tasks are visible to users who have access to the person's task information. Do not use the Task Details field for sensitive pastoral information.

Instead, place sensitive information in a Note with the appropriate privacy settings.

Assign the task

Use Assigned to to choose the admin user responsible for completing the task.

A Follow-Up Task represents one specific responsibility. When that task is finished, the task is complete even if the person remains assigned to that staff member for ongoing care.

Set a due date

Use Due date to identify when the task should be completed.

The due date answers:

When should this be done?

Set an optional reminder

A Follow-Up Task can also send a reminder to the assigned user.

Select:

Set a reminder for this task

Then choose the reminder date and time.

The reminder is separate from the task's due date.

Due date: Friday

Reminder: Thursday at 9:00 AM

Choose notification methods

One or more reminder methods can be selected.

App

The assigned user receives a push notification.

Opening the notification takes them into the app, where they can view the task and complete it.

Email

The assigned user receives an email containing a link to the task so they can review and complete it.

Text

The assigned user receives an SMS text-message reminder.

The text reminder itself does not provide interactive task controls.

Reminders follow the assigned user

If a Follow-Up Task is reassigned to another user before its reminder is sent, the reminder follows the new assignee.

The reminder is intended for the person currently responsible for completing the task.

Creating a task from an Interaction

While recording an Interaction, select:

Create a follow-up task

This lets you record what happened and immediately assign whatever needs to happen next.

Interaction: Called new guest and learned they are interested in children's ministry.

Task: Send children's ministry information tomorrow.

Creating a task from a Note

While creating a Note, select:

Create a follow-up task

This is useful when the context belongs in a Note but still requires action.

Restricted Note: Pastoral-care details.

Task: Pastor James to call Thursday.

The task can remain brief while the sensitive context remains protected within the Note.

Current reminder limitations

Follow-Up Task reminders do not currently include a snooze or reschedule option after the reminder is received.

Additional reminder and follow-up capabilities may be added in the future.
