Interactions provide a history of meaningful contact with people in your church or ministry.
Use an Interaction to record what happened: a phone call, email, personal conversation, coffee meeting, attempted contact, pastoral visit, or another form of communication.
You can begin a new Interaction from a person's profile action menu at the top right, from their Communication tab, or from available person action menus, such as to the right of each person on the Person List.
Choose New Interaction to open the Add Interaction window.
Enter the information that describes the contact.
Choose the date on which the Interaction occurred.
This allows you to record an Interaction after the fact rather than requiring it to be entered at the exact time it happened.
Choose the admin user who actually handled the Interaction.
This allows the historical record to identify the person who interacted with the individual, even when another administrator is entering the information.
Use Initiated by to describe how the conversation began.
Available choices are:
For example, if someone called the church asking for help, choose They contacted us. If a pastor called to check in, choose We contacted them.
The Method describes how the Interaction occurred.
Examples may include phone calls, email, text messages, coffee, personal visits, video calls, and other methods available to your organization.
Your organization can also create custom Interaction Methods under:
People > People Settings > Interaction Methods
The Category describes what the Interaction was about.
For example:
Categories are shared between Notes and Interactions and can be customized under:
People > People Settings > Activity Categories
The optional Outcome helps describe the result of an attempted or completed Interaction.
Available choices are:
This can be particularly useful when your church is intentionally following up with people and wants to preserve a useful contact history even when someone was not reached.
Use Summary / Notes to record brief information about the Interaction.
Keep in mind that Interactions are shared records. Users who are permitted to access the person's Interaction information can see the Interaction.
For sensitive pastoral information, create a Note with appropriate visibility instead of placing those details in the Interaction.
A useful Interaction summary might say:
Called to check in after surgery. John is home and recovering well.
Sensitive details that only a pastor or particular team should see would be better stored separately in a restricted Note.
Select Show this as a profile highlight when the Interaction represents an important current situation that should remain prominent on the person's profile.
Enter a short Highlight title and, if appropriate, a Display until date.
For example:
The highlight can later be edited or cleared from the person's profile.
If something needs to happen after the Interaction, select:
Create a follow-up task
You can then enter:
This creates an actionable Follow-Up Task while keeping it connected with the Interaction that prompted it.
Interaction: Melissa spoke with Sarah about finding a small group.
Follow-Up Task: Send Sarah three small-group options by Friday.
Connection Card Pro shows the person's most recent Interaction near the top of their profile.
A recent Interaction is shown in green. An older Interaction appears in gray.
If no Interactions have been recorded, the profile indicates that there are No interactions.
Notes and completed Follow-Up Tasks do not change the Last Interaction date. Only Interaction records do.
In situations where a non-admin group leader has permission to access someone in a group they lead, they may also be permitted to submit a new Interaction.
This does not give the group leader access to the person's previous Interaction or Notes history.
