Assigning People to Staff or Leaders for Ongoing Care

Connection Card Pro lets your church admins assign a person to someone who has ongoing responsibility for staying connected with or caring for them.

A person assignment is different from a Follow-Up Task.

Person assignment versus Follow-Up Task

A Follow-Up Task is one specific action:

Call Robert on Thursday.

Once the call has been completed, the task is finished.

A person assignment represents an ongoing responsibility:

James is responsible for staying connected with Robert.

Completing one conversation or task does not end that broader responsibility.

When person assignments are useful

Assignments can help churches organize ongoing care in many different ways.

For example:

  • Pastors dividing responsibility for congregation members
  • Deacons or care-team members caring for particular households
  • Staff following new people through a connection process
  • Ministry leaders maintaining responsibility for particular people
  • Church-plant teams dividing prospects or contacts
  • Different staff members caring for different groups of people

The feature does not require every church to define responsibility in the same way. Use assignments according to the care structure that makes sense for your ministry.

Assign a person

From the Person List, open the person's action menu (to the right of the person).

Choose:

Assign to Person

Then select the appropriate person responsible for the assignment.

Once assigned, the person's profile displays:

Assigned to: followed by the assigned person's name.

This provides an easy reminder of who has the ongoing responsibility for that individual.

Person assignments do not create tasks

Assigning a person does not mean there is necessarily a specific action due today.

For a specific action with a due date, use a Follow-Up Task.

For example, you might assign Robert to Pastor James for ongoing care and separately create:

Follow-Up Task: James to call Robert next Tuesday.

Once James completes the call, the task disappears from his outstanding work, but Robert can remain assigned to James.

Use both when appropriate

The two systems are often most useful together.

For example:

  1. Assign a new family to a staff member responsible for helping them get connected.
  2. Create a Follow-Up Task to call them after their first visit.
  3. Record the resulting call as an Interaction.
  4. Create another task later if another action is required.
  5. Keep the family assigned to the same staff member throughout the process.

This provides both ongoing ownership and specific accountability.

View assignments on profiles and lists

The assigned person can be displayed directly on the person's profile.

Connection Card Pro also provides People > Assigned to Me, where users can find the people currently assigned to them.

That list shows ongoing person assignments. It is not a list of Follow-Up Tasks.
