Understanding and Managing Tags in Connection Card Pro

Overview

Tags in Connection Card Pro are a powerful, flexible way to organize people, groups, events, donations, transactions, and more. They help drive automation, filtering, and reporting across nearly every module — and they're fully customizable (except where noted).

This guide will walk you through the different tag types, where each type applies, how tagging works across the system, and how Admins can manage them effectively.

What Are Tags?

Tags are labels that can be attached to records to help with:

  • Organization
  • Searching and filtering
  • Reporting and Tag Binders
  • Workflow automation
  • Public visibility (for certain tags and items)

Types of Tags

Tag Type Who Can See It Where It Can Be Used
Public TagsPublic + AdminsGroups, Events, Meeting Times
Custom TagsAdmins onlyPeople, Groups, Events, Forms, Meeting Times, Giving Profiles, Resources, etc. (not Transactions)
Project TagsAdmins onlyPeople, Groups, Events, Forms, Transactions, Giving Profiles, etc.
Fundraiser TagsAdmins onlyPeople, Groups, Events, Transactions, Giving Profiles, etc.
Purpose TagsAdmins onlyAccounting only – applied to Journal or Register Entries
Status TagsAdmins onlyPeople only – one per person
FlagsAdmins onlyPeople only – one per person, with color-coded icons
  • 🚫 Public Tags can only be applied to Groups, Events, and Meeting Times.
  • 🚫 Custom Tags cannot be applied to Transactions.
  • ✅ Tags can also be associated automatically through automation, such as Unique Giving Links.

Where Can Tags Be Applied?

Tags may be used with the following areas:

  • People
  • Groups
  • Events
  • Forms
  • Meeting Times
  • Recurring Giving Profiles
  • Journal/Register Entries (Accounting)
  • Resources
  • Form Submissions
  • Event Registrations
In addition, Transactions may also be tagged with a Department or Event — but these are not tag types and are managed differently.

Tag Automation Examples

  • Unique Giving Links: Tags attached to the link are applied to all donations and recurring giving profiles set up through that link.
  • Recurring Giving Profiles: Tags applied here automatically carry over to the Transactions created from them.

Tag Appearance: Colors and Numbers

All tag types except Public Tags can optionally have:

  • 🎨 A color – shown in some views instead of the default badge color
  • 🔢 A number – used to determine sort order (lower numbers show first)
When sorting is enabled, tags are ordered by number, then alphabetically.

Tag Categories

Only Public Tags and Custom Tags use Tag Categories (admin-defined folders to group tags).

Examples of tag categories you might create:

  • Stage of Life
  • Language
  • Neighborhood
  • Semester
  • Discipleship Path
  • Purpose
Categories help organize tags visually, support filtering, and enable folder-like views in Tag Binders.

Special Tag Types for People

Status Tags
  • Only one per person
  • Optional — used to define a person’s primary status in your church (e.g., “Active”, “Visitor”, “Prospect”)
  • Managed under People Settings > Tags
Flags
  • One flag per person (optional)
  • Visual indicator using color-coded icons
  • Preset colors: Red, Orange, Yellow, Green, Teal, Blue, Purple, Pink, Brown, White + outline versions
  • You may assign custom labels to each flag color (e.g., Red = “Critical”, Blue = “Needs Visit”)

How to Manage Tags

Tag Type Manage In…
Public TagsGroups > Group Settings > Public Tags
Custom TagsPeople > People Settings > Tags
Status/FlagsPeople > People Settings > Tags
Purpose TagsAccounting > Financial Settings > Tags
Project/Fundraiser TagsPeople or Accounting Settings (varies)

Admins can:

  • Create/edit/delete tags
  • Assign tags to specific features (e.g., Groups, Events, etc.)
  • Organize Public/Custom tags into categories
  • Add color or number (where applicable)

Best Practices

✅ Do This 🚫 Avoid This
Use clear, consistent tag names Avoid vague or duplicate tag names
Group related tags into categories Creating multiple overlapping categories
Use Public Tags for guest-facing clarity Exposing sensitive internal info via tags
Assign numbers to prioritize key tags Using color coding inconsistently
Review tags quarterly to clean up unused ones Letting tag sprawl overwhelm your system
