Using the Resources List

Overview

Resources represent rooms, facilities, equipment, people or other items that can be booked, reserved or scheduled in Connection Card Pro.

The Resources List is the primary place to organize and manage those Resource records. It uses Connection Card Pro's standard List interface while adding Resource-specific organization, filtering and management tools.

Availability, bookings and the Resource Availability Calendar are closely related to the Resources List, but they serve a different purpose: the List manages the Resources themselves, while the availability tools show when those Resources can be used.

What Appears in the Resources List

A Resource can represent many different things that your organization needs to schedule or reserve.

Examples might include:

Resource Categories and Grouping

Resources are organized by Category.

Categories make it easier to manage different kinds of Resources together, particularly as your collection grows.

For example, you might have categories for:

The Resources List is grouped by Category by default so related Resources remain easy to scan.

You can turn Grouping off when you prefer to work with one flat, sortable List instead.

Resources without a Category appear in the applicable uncategorized group.

Parent and Child Resources

Resources can also have parent and child relationships.

This is different from Categories. A Category describes what kind of Resource something is, while a parent relationship describes how two Resources are physically or logically connected.

Parent and child Resources are especially useful for spaces that overlap.

For example, a gym might contain:

Those Resources can be related so Connection Card Pro understands that booking part of the space may affect the availability of the larger space.

The Resources List keeps related Resource rows together so you can see that relationship while managing them.

Filtering Resources

Resource-specific Filters help narrow the List based on how your Resources are organized.

Depending on your account configuration, Filters can include:

Resources can use applicable Project, Fundraiser and Custom Tags, making Tags useful for organization that doesn't fit neatly into a Resource Category.

Resource Status and Quantity

Resource information can include settings that affect how the Resource can be booked.

Depending on the Resource, you may see information such as:

Availability itself depends on both the Resource's configuration and the bookings that already exist for the requested time.

Opening and Editing a Resource

Open a Resource when you need to view its full details or change its setup.

Resource details contain the settings that control how that room, facility, equipment or other Resource participates in scheduling.

The exact settings available depend on the type of Resource and the features enabled for your account.

Working with Multiple Resources

Select multiple Resources when you want to perform the same action on several records.

This is especially useful when reorganizing your Resources or cleaning up Resources that are no longer needed.

Use the selected count to verify how many Resources will be affected before completing a bulk action.

Moving Resources Between Categories

When several Resources need to be reorganized, you can select them and move the selected Resources to another Category together.

This is much faster than editing each Resource individually.

  1. Select the Resources you want to move.
  2. Open the available bulk actions.
  3. Choose the option to move the selected Resources to another Category.
  4. Select the destination Category.
  5. Complete the change.

After the change, the Resources will appear beneath their new Category when Grouping is enabled.

Removing Resources

Resources that are no longer needed can be removed individually or, where available, as a selected group.

Removing a Resource is different from simply moving it to another Category or making another organizational change.

Review the confirmation carefully before removing Resources, particularly if those Resources have been used in booking or scheduling history.

Availability, Bookings and Calendar

The Resources module includes several views beyond the main Resources List.

Resource Availability

Availability lets you check Resources for a particular date or date range and see whether each Resource is available, partially booked or fully booked during that period.

Resource Bookings

The Bookings view focuses on the actual bookings taking place during the selected period.

Resource Availability Calendar

The Availability Calendar provides a time-based view of Resource availability so you can more easily see when Resources are already in use.

These views use the same Resource records managed from the Resources List. If a Resource's name, Category, quantity, parent relationship or booking settings need to change, update the Resource itself from the Resources List.
