The Forms & Applications List is where you manage the Forms, Surveys and, when enabled for your account, Applications created in Connection Card Pro.
The List uses Connection Card Pro's standard List interface while providing tools specific to collecting and managing submitted information.
This guide focuses on the differences between Forms, Surveys and Applications and the actions available for each. General Search, Filters, Columns, Saved Views, selection and export behavior is covered in the shared List guides.
The List can contain several types of records.
| Type | Best Used For |
|---|---|
| Form | Collecting individual submissions, sign-ups, requests or other information where you generally want to review each response. |
| Survey | Collecting information where the responses are useful as combined results, charts or summaries. |
| Application | A more structured application process which can use multiple Forms or steps and provides additional application-specific workflow. |
When Applications are enabled, the List lets you manage Forms, Surveys and Applications together while still making their type visible.
The Type column can also be used when sorting or filtering the List, making it easy to focus on only Forms, Surveys or Applications.
The Forms & Applications List can display useful information about each item without requiring you to open it.
Depending on your Columns, this can include information such as:
Use Columns to choose the information that's most useful for the way your team manages Forms.
In addition to standard Search, Form-specific Filters can help you narrow a larger Forms collection.
Filters can include:
This makes it possible to create Saved Views for particular ministry areas or purposes without creating separate collections of Forms.
The action used to review received information depends on the type of item.
Forms generally provide access to Submissions, where you can review the individual responses that have been received.
Surveys are designed around aggregated information and provide access to Results, including the applicable summaries and breakdowns of Survey responses.
Applications provide access to the application-management and submission tools available to administrators with the appropriate Application permissions.
The exact options you see depend on both the record type and your permissions.
Active Forms and Surveys can be shared directly from the List using Share.
The Share tool provides the available ways to distribute the public Form, such as its public link and other supported sharing options.
You can also use Connection Card Pro's Modal Embed integration when you want a Form to open directly over your own website.
Archived Forms aren't available for new submissions and therefore don't provide the normal active sharing workflow.
Depending on your permissions, use the row actions to edit the selected Form, Survey or Application.
Duplicate is useful when you want to create another Form based on an existing setup rather than rebuilding it from scratch.
After duplicating, review the copied Form carefully before sharing it. Dates, wording, automation, notification and other settings may still reflect the original Form until you change them.
Archive a Form when you no longer want it accepting new submissions but still need to retain the Form and its existing data.
Archiving:
Use the archived Filter or applicable Saved View to find archived Forms.
Select Restore when you want to return an archived Form to active use.
Removing is different from archiving.
Archive should normally be used when you simply no longer want to collect new submissions.
Remove is the destructive option and removes the Form or Application along with its associated submissions and data.
Because those submissions may contain information you need later, read the confirmation carefully before permanently removing a Form.
Applications can use Forms as part of their multi-step application process.
This means a Form may exist because it is being used as an Application step even though the Form itself is still a Form record.
The Type column identifies the Application itself separately from normal Forms and Surveys, while application-related Forms remain part of the Forms system.
Be especially careful when archiving or removing a Form that's being used by an Application. Changing or removing that Form can affect the Application process that depends on it.
