Understanding the Recipient 'Smart Box' for Emails and Texts

When sending emails or text messages from Connection Card Pro, you can filter and select individuals from the Person List directly (using all of the available filters that you know and love) or you can type a handful of keywords or names into the Recipients box.

This document will help you understand how our Recipients 'Smart Box' works, and how you can make the most of it to speed up your email and text campaigns.

As you are selecting options, you'll see a description of the recipients who will receive this message.

There are likely hundreds of options available in the Recipients 'Smart Box'. But, you can begin typing what you're looking for to find it quicker.

Options

The 'Smart Box' is broken down into the following types of options.

Who
These keywords help you select who you're sending to or modify your selection. These keywords are described below.

Mailing Lists
When you select custom criteria or a list of individuals, you have the option of saving this list as a reusable Mailing List. You can select any Mailing List you've created in the past to send a message to the same list of individuals.

The 'Parents' modifier does not affect a mailing list selection.

Mailing Lists contain the individuals who met the criteria at the time of creation and are not automatically updated. For example, if you create a mailing list based on members of two specific departments. In the future, the mailing list will send to anyone who was a member of those departments at the time you created the list, regardless of whether or not they still are and regardless of new members.

Custom Lists
When you create Custom Person Lists (from the Person List or during an Import), you can use those lists to send messages to anyone on those lists. The 'Parents' modifier does impact this selection.

Events
Any past or upcoming events in your organization can be chosen. Selecting an event without an event modifier will send a message to everyone who is associated with the selected event(s).

Departments
You can select any department(s) in your organization. Selecting a department without a group modifier will send a message to everyone who is associated with the selected department(s).

Divisions
You can select any division(s) in your organization. Selecting a division without a group modifier will send a message to everyone who is associated with the selected division(s).

Crews
You can select any crew(s) in your organization. Selecting a crew without a group modifier will send a message to everyone who is associated with the selected crew(s).

Small Groups
You can select any small group(s) in your organization. Selecting a small group without a group modifier will send a message to everyone who is associated with the selected small group(s).

Individuals
You can also select any individual(s) who are in your organization. Any individuals selected will receive the message regardless of any other criteria. However, the 'Parents' modifier does apply to selected individuals and will instead send a message to the parent(s) of any selected individual(s) rather than the individual(s).



Keywords and Modifiers

Selecting any of the keywords or modifiers (in the Who group) will have the following effects on your list of recipients:

Everyone
Selecting Everyone will send a message to everyone in your organization and will ignore all other modifiers and selections.

Members of (Selected Groups)
You must also select one or more groups (Department, Division, Small Group or Crew) for this keyword to work. This option will send a message only to the members of selected group(s). This excludes leaders of the selected group(s). Choosing any groups without using either group modifier will send a message to everyone in the group. The Parents keyword will also impact this list of recipients.

Parents
The Parents modifier will send the message only to the parents of any individuals selected or who meet the selected criteria, rather than the individuals themselves. This does require that parents be linked to the selected individuals and have an email address or cell phone number (for emails or texting respectively) saved in their profile.

Participants of (Selected Events)
You must also select one or more events for this keyword to work. This option will send a message only to the participants of selected event(s), which will only include the primary registrants if they are also participants. Choosing any events without using either event modifier will send a message to everyone associated with the event. The Parents keyword will also impact this list of recipients.

Primary Leaders of (Selected Groups)
You must also select one or more groups (Department, Division, Small Group or Crew) for this keyword to work. This option will send a message only to the primary leaders of selected group(s). This excludes secondary leaders and members of the selected group(s). Choosing any groups without using either group modifier will send a message to everyone in the group. The Parents keyword does not have any impact on this criteria.

Primary Registrants of (Selected Events)
You must also select one or more events for this keyword to work. This option will send a message only to the primary registrants of selected event(s), excluding any participants on the same registration. Choosing any events without using either event modifier will send a message to everyone associated with the event. The Parents keyword will not impact this criteria.

Secondary Leaders of (Selected Groups)
You must also select one or more groups (Department, Division, Small Group or Crew) for this keyword to work. This option will send a message only to the secondary leaders of selected group(s). This excludes primary leaders and members of the selected group(s). Choosing any groups without using either group modifier will send a message to everyone in the group. The Parents keyword does not have any impact on this criteria.
