Make sure you have completed setting all your Kiosk Settings first for a more efficient check in set up! See our tutorial on Kiosk Settings!
Connection Card Pro is programmed for use for check-in with a regular monitor or with a touch screen monitor, along with cards. If you wish to have parents and student’s check-in using a touch screen monitor, your monitor must be a touch screen monitor.
Once you are in the Kiosk Mode, whether Service Counter or Self-Check in, these are the only screens people will see. You will need to use your Admin Code or Menu Access Card to enter back into the Admin portion of your computer, as only those with admin privileges can exit out and go into the Admin area, keeping all of your info inaccessible and confidential to everyone else.
Self Check-In Kiosk Mode - Used on-site for Check-ins/Check-outs and other Kiosk related tasks where Parents can check their children in/out, or Youth can check themselves in/out using their card or phone number, or in picture view, with no access to other records and administrative screens. Name and pick up labels will print automatically upon sign in.
Service Counter Kiosk Mode – Used for Check-ins/Check-outs and other Kiosk related tasks where you have an Admin or Volunteer checking each person in or out. New Visitors and families can be added at the Service Counter Kiosk, along with ability to Add/Update phone, address and family members. You can check them in by phone number, name or swipe their card. Name and pick up labels will print automatically upon sign in.
Menu Access Code - Currently your Menu Access code is set to 1500. This can be changed in Kiosk > Settings > Kiosk Settings. Admins and Volunteers working with check-ins will need this code if using Self-Check-In screen.
Admin Code – This is a personal and confidential code for those who have admin privileges associated with this organization. Your Admin Code is created or found at Kiosk > Settings > Kiosk Settings.
Admin Password – This is your personal and confidential password you use when logging into Connection Card Pro. You will need your password to return to the Admin Area from the Kiosk area. This is to provide security to keep any personal and confidential information private in the Admin Area.
Create Check-In Setting
From the menu: Kiosk > Start Kiosk
To Create a New Check-in Setting it is good to have your Meeting Time that you will be using for Check-In set up first, in Manage > Meeting Times > Add New. But this can be set here if you do not have that set up yet.
Once these are set, you can use the same settings each time without resetting. Just be sure to save with a name that you will remember what Meeting Time /Registration this check-in setting is for!
Select the Department this group you are checking in is associated with.
Select “Check-In”.
This will take you to Check-In Settings.
Select Event/Meeting Time you are checking people in for from the drop-down Menu. If the Meeting time has not been created yet, you can create it here by clicking on “New Meeting Time”. You can also create Meeting times in Manage > Meeting Times > Add New when not in Kiosk mode.
Check-In Date: Set the Date for the date you want attendance to be recorded on.
Check-in Profile: If this is the first time you are setting up this Check-in profile and this will be a Meeting Time that will be meeting more than once, weekly, etc. select from the drop down menu “Create New Check-In Profile” to create and save these settings for future check-ins during this meeting time. You will be asked down below for a name for this profile setting.
If you have already created this check-in profile, select that profile setting from the drop-down menu. If you have one main setting that can be used for every check-in, you will have the option to make it your Default Setting.
Team Tracking: If this is a Team Event, or incorporating Teams into this group, Select your Team Event from the drop-down menu. (Set up your team first in Events > New Event)
Self Check-In: Select from the drop-down menu how you want them to check-in on the Self Check-In kiosk– Card or phone only, Card or Phone, Visual Check in by photo/name. For the Scan Card or search by phone they will not see any names but theirs. For the Visual Check-In by Name/Photo you will see all names/photos on the screen for them to select theirs from.
Grant Credits: Choose from the drop-down menu if you want to grant credits per your current Department settings (found in Groups > Departments > Gear button > Department Settings and click on the Blue Credits/Points Settings).
Amount of Credits: If granting credits, enter a number for how many credits to grant, unless using Current Department Default.
Name Tags/ Pick-Up Slips: Choose from the drop-down menu which option you want for printing Check-In Name Tags and Pick-Up Slips. You will need your Dymo Label plugin and printer installed before starting an actual check-in. It is a good idea to do a test check-in to make sure everything is set up properly and working before the 1st time checking in!
Name Tag Template: If you chose an option to print name tag or name tag with pick-up slip, from this template dropdown choose the template you have created for this. (You will want to create this first by going to Kiosk > Settings > Name Tag Templates).
Select Printer if you are printing Name Tags and/or Pick-Up Slips.
Save Profile: Choose “Save these Settings” to save these settings for future check-ins of same event/meeting time.
Profile Settings
Profile Name: If you choose to save this setting, you will be given a line to type in the name you would like to name this check-in setting/profile. Create a name that will make sense to your people what meeting/event they need for check-in, such as Sunday am if you want to use the same setting for all departments, or if you would like to separate out by services, you can make one for each service time, such as one for the 9a Sunday Service and then create another one for the 10:30a Sunday Service, for example.
Profile Availability: Select from the Drop-down menu the availability of this profile to others.
Select Service Counter or Start Self Check-In Kiosk to save these settings and start checking in.
Check-In Using the Service Counter Kiosk
From the menu: Kiosk > Start Kiosk
Select Department then Select “Check-In”.
This will take you to Check-In Settings. If you need help with this, see “Create Check-in Setting” Tutorial above.
Select “Start Service Counter” to save these settings and start checking in.
The department you are currently checking in will show at the top. Use the menu bar at the top if you need to change departments.
You can toggle your screen to full screen by clicking on F11 so your tab bar doesn’t show, but you will still have the Top Toolbar available.
To check someone in, you can Check-In by Name, by Card or Phone Number. As a person is checked in, they will be listed on the right under Currently Checked In and their info box will appear to the left. Here you can Update Information or Add a Parent(s) by clicking one of these boxes. You can also grant credits from here, add to a group, print an extra name tag or check them out.
To add a new person or family, simply click on the “New Person” or “New Family” button. (See Add New Family or person tutorial for more information).
On the right side will be a list of those Currently Checked In. You can click on their name to pull up their information box to Update information, check-out, etc.
When individuals are signed in through the check-in, they are also marked present for the selected attendance event, so no need to go through your class to mark attendance if they have been checked in!
To Change Settings in Service Counter Kiosk Mode
Click on the “Change Settings” button whenever you need to check in using different settings.
Make the necessary changes and save with a different name, or do not save if only using these settings one time.
Adding a New Family or New Person during Check-In from the Service Counter
NOTE: If you have not set up and selected the information you want to collect when new people register through the kiosk yet, go to Groups > Departments > Gear button > Kiosk Settings for this department and select here what information you want to collect and what information is required. See our tutorial in Kiosk Settings - Individualized Department Kiosk Settings for more help.
In Service Counter Kiosk Click on “New Family” or “New Person” to enter first time family or visitor.
Enter Family Position first for the person you are entering.
Enter First and last name, and all other information you selected in your Department Kiosk setting to obtain.
Grade: If you want to do yearly promotions by grade, make sure to select their current grade.
Add to Current Department: The current department screen you are in will be the department that comes up here. For example, if in the Children’s Department for Kids check-in, when adding a child make sure this is checked to add them to the child department for automatic attendance recording. When adding a parent or guardian to the child, Make Sure TO UNCHECK this box so they are not added to the child department.
Check-in this person to current meeting time: Make sure this is checked for the child if your department screen for checking in is the Children’s department, and make sure to UNCHECK this for Parents/Guardians, otherwise you will be checking them into the Children’s Department!
Next, select from the drop-down menu who you will be adding next from this family.
If you use Cards for check-in, click on the line and then swipe a new or temporary card for this student/child, otherwise skip this step.
If adding another family member click on Save & Continue OR If you have all the family entered, click on Save & Complete Family to go back to the Check-In screen.
Continue until all family members have been entered, remember to select their Family Position at the top of each person you are adding and checking or unchecking to add to this department and check-in to this current department meeting time.
To Switch between the Service Counter and Self Check-In Screen
If you are in Service Counter and need to switch to a self check-in screen, click on “Switch to Kiosk” button.
If you are in Self Check-In Kiosk Mode (Unmanned) and need to switch to the Service Counter, enter your Organizations Menu Access Code in the phone check in line for top menu, then click on “Check-In/Check-Out” and Click on “Service Counter”.
Check-In Using the Self Check-In Kiosk
A Self Check-In kiosk is good for Youth or Parents who can check-in on their own or for their children by either entering a phone number or swiping their Card. You still have the option to print Check-in tags if you use those. In the self check-in mode your Top Toolbar menu will be hidden.
From the menu: Kiosk > Start Kiosk
Select Department then Select “Check-In”.
This will take you to Check-In Settings. If you need help with this, see “Create Check-in Setting” Tutorial.
Select “Start Self Check-In Kiosk” to save these settings and start checking in.
NOTE: You will want to toggle your screen to full screen on a self-check in kiosk so that guests don’t see the browser window. Use F11 in Windows/PC or Ctrl/Windows/F to on a Mac. Go back anytime you need access to the menu at the top by entering or swiping your Menu Access code in the line where you would input phone number.
The department you are currently checking in will show at the top. Use the menu bar at the top if you need to change departments.
Have the parents checking in their child(ren) or the Students who can check themselves in enter their phone number and hit enter or swipe their connection card if you use cards. If this phone number/card belongs to one person in this department they will be checked-in automatically. If this phone/card belongs to more than one person, have them select each person attending and hit done.
Adding a New Family or New Person during Check-In from the Self-Check-In Screen
If need to use a Self Check-In Kiosk at any time to enter a new person you can do that by entering your Menu Access Code, from the Top Menu click on “Persons” > New Person.
If you are entering a parent(s) and child(ren) click on the blue “Add New Family”, if only entering one person such as a youth or adult, just click to add a person.
Once everyone for this family/person has been entered, select “Back to Sign-In” for Next and Save & Continue. You will be returned to the self Check-In Screen. Enter phone number or card to check in.
When individuals are signed in through the check-in, they are also marked present for the selected attendance event, so no need to go through your class to mark attendance if they have been checked in!
Check-In Using Visual Check-In by Name/Photo in Self-Check-In
A Visual Self-Check-In Screen is nice for Youth checking in on their own. You still have the option to print Name tags if you use those. The top toolbar menu will be hidden in the self-check-in Visual mode.
From the menu: Kiosk > Start Kiosk
Select Department then Select “Check-In”.
This will take you to Check-In Settings. For the “Self Check-In” input, choose from the drop-down menu “Visual Check-In by Name/Photo. If you need further help with the other settings on this page, see “Create a New Check-in Setting” Tutorial.
Select “Start Self Check-In Kiosk” to save these settings and start checking in.
Adding a New Family or New Person during Check-In from the Visual Self-Check-In Screen
At the bottom of the screen click on “+New Person” and fill out the information.
To Exit out of the Visual Check-In Screen
At the bottom of the screen click on “Admin”
Enter your own personal Admin code to bring up the top toolbar.
