Searching, Filtering, Sorting & Grouping Lists

Overview

Connection Card Pro Lists give you several ways to find exactly what you need without changing or reorganizing the underlying records.

You can use Search for something quick, Filters for specific criteria, Sorting to change the order of results, and Grouping to organize related results together.

These tools can also be combined. For example, you might filter a List to only active records, search within those results for a particular word, and then sort the remaining results by date.

Search vs. Filters

Search and Filters both narrow a List, but they are useful for different things.

Tool Best Used For Example
Search Quickly finding text or a record you already have in mind. Search for a person's name, a group name or an event keyword.
Filters Narrowing records based on a particular field or condition. Show only active records, records with a certain Tag, or events in a particular category.

You don't need to choose between them. Search and Filters work together.

Searching a List

To search:

  1. Click in the Search field above the List.
  2. Begin typing what you're looking for.
  3. The List will automatically narrow to matching results.
  4. Clear the Search field to remove the search.

Each type of List decides which information is searchable. Search may include useful information associated with a record even when all of that information isn't currently displayed as a visible column.

Adding Filters

Filters let you be more specific about which records should be included.

  1. Click Filters.
  2. Click Add filter.
  3. Choose the type of filter you want to use. If many filters are available, use the Search field to find one quickly.
  4. Select or enter the value for that filter.
  5. Add any additional filters you need.
  6. Review the matching result count shown in the Filters window.
  7. Click Apply filters.

The filters available depend on the type of List. You may see filters for things such as categories, status, groups, tags, dates, classifications or other information specific to that area.

Working with Multiple Filters

When you add multiple filters, they work together to narrow the List.

For example, if you apply:

the List will show records that match the active filters together.

The matching count in the Filters window lets you preview how many records will remain before you apply your changes.

Changing and Removing Active Filters

After filters have been applied, they appear directly underneath the List toolbar under Active filters.

Each filter shows both the filter name and its current value.

The number shown beside the Filters button also indicates how many filters are currently active.

Sorting Results

Sorting changes the order of the results without removing any records from the List.

On a desktop:

  1. Find the column you want to sort by.
  2. Click the column heading.
  3. An arrow indicates the current sort direction.
  4. Click the same heading again to reverse the direction.

Not every column can be sorted. Columns that support sorting display the sorting control in their heading.

On a smaller screen, use the Sort menu to choose from the available sortable fields.

Grouping Results

Some Lists can organize related records into visual groups.

When grouping is available, use the Grouped button to switch between grouped and ungrouped results.

Grouping does not change the records themselves. It only changes how the List is organized on your screen.

You can continue to search, filter and sort while results are grouped.

Some Lists also contain natural parent/child relationships. These may continue to appear together even while you change the way the overall List is sorted or grouped.

Using Preset Views

Some Lists include ready-made Preset Views for common needs.

Open Saved views to see the presets available for the current List. A preset may automatically apply a useful combination of filters, sorting, grouping or other List settings.

Preset Views don't change any records. They simply give you a quick way to view the same information differently.

When No Results Match

If a List shows no matching results, check the Search field and your Active filters first.

Remember that filters work together, so two individually reasonable filters can sometimes create a combination that doesn't match any records.
