Batch Actions: Update Many People at Once
The Batch Action tool lets you apply the same change to many people at the same time—saving you a lot of clicking and time.
You’ll find it:
- At the bottom of the Person List:
People > View People
- At the bottom of any Custom List
- From a Group roster by clicking Filters at the top-right (then use Batch Action at the bottom).
1. Choose who you want to update
- Go to People > View People (or open a custom list / group roster and click Filters to show that group in list view).
- Use filters across the top (Groups, Tags, Classification, Household, Last Attended, Status, etc.) and/or the Search box to narrow down the people you need.
- Select people:
- Click anywhere on each row to select or deselect that person, or
- Use Select: All | None at the bottom-left to quickly select everything currently visible.
Important:
Selections are remembered even as you change filters or searches. If you:
- select some people,
- change the search or filters, and
- select more people,
your
Batch Action will apply to all selected people, including ones that are no longer visible on the screen.
If you’re unsure who’s selected, clear filters to see who or click None to clear and start again.
Selections are not remembered when the page is refreshed or if you navigate away from the current page.
2. Choose a Batch Action
At the bottom of the list, open the Batch Action dropdown and pick what you want to do. Options are grouped into sections. What you see will depend on your permissions and which custom fields your church has created, but common groups include:
Giving Statements & Receipts
Great for year-end or special campaigns:
- Download combined giving statements or individual giving statements
- Download non-charitable statements (for payments that aren’t tax-receiptable)
- Email giving statements or combined statements
- Generate official giving receipts (for supported regions)
Actions
Useful ministry tools, for example:
- Start a new workflow run with the selected people
- Print instant mailing labels or a label sheet (PDF)
- Record attendance / mark as present (then select a date and meeting time)
- Record an interaction (phone call, visit, etc.)
- Record a milestone (baptism, membership, graduation…)
- Send Personal Hub invites
Modify Persons
Update core profile info in bulk:
- Change Classification (membership status), School, or Status
- Increase school grade level (great at the end of the school year)
- Mark as Active or Inactive
You can use the Increase School Grade batch action as a simple alternative to the Promotions feature found in People > People Settings > Promotions. Promotions will give you the option to also do this and can also promote individuals into different classes or groups.
Points (if your account uses Points)
- Grant Points
- Redeem / Deduct Points
- Reset Points
Tags
Organize people quickly:
- Add Tag(s) to everyone selected (will add additional tags if that person isn't already tagged)
- Remove Tag(s) from everyone selected (will remove all tags from the selected individuals)
Organize People
Move or connect people to ministry structures:
- Add to a Campaign
- Add to Group
- Add to List
- Assign to Person (for follow-up / care)
- Remove from Group
- Remove from List (when viewing a custom list)
Custom Fields (Dates, Yes/No, Person Profile)
Any custom fields you’ve created that are:
- Date fields (e.g., Baptized, Membership Date, Background Check Date)
- Yes/No fields
- Person profile fields
…will also appear so you can set or update them for many people at once (for example, recording “Background Check Made” or “Date Became Member” for a whole batch).
3. Run the Batch Action
- After selecting your people, choose your desired option from Batch Action.
- For some actions, once you've selected an action, additional fields will appear.
- Click Go.
Most changes happen immediately; for downloads (like giving statements), your browser will start downloading the file. For emails, the system will queue and send them for you.
Tips & Best Practices
- Always double-check your selection count at the top before running a big action.
- If you’re doing something major (like mass status changes), consider:
- Running it first on a small test set of a few people.
- Exporting your current list to CSV as a backup snapshot if you are unsure.
- Use filters to narrow your list when trying to find only certain individuals with similar traits.
- Remember: Selections persist while you’re on the People list, even if you change filters or searches, until you click Select: None.
