Visit Pricing for Memberships
Configure per-visit and overage charges for members and non-members.
Visit Pricing tells Connection Card Pro how much to charge per visit for members and non-members. It’s designed for:
- Pay-as-you-go access (drop-in gym, childcare, classes, etc.)
- Overage fees when a member exceeds the visits included in their plan
If your organization does not charge per visit, you can usually skip Visit Pricing.
📌 Visit Pricing is used by the kiosk/service counter to automatically apply visit charges. Staff can also apply visit charges manually when recording visits.
1) Where to Find Visit Pricing
- Open the Memberships module.
- Click Visitor Pricing.
You’ll see a list of existing Pricing Structures with:
- Name
- Active Dates
- Visit Times
- Price (non-member)
- Overage Price (member)
- Edit and Remove actions

To create a new rule, click ➕ Add New, or Edit an existing one to update it.
2) Create a Visit Pricing Structure
From Memberships > Visitor Pricing > ➕ Add New, on the Create/Edit Visit Pricing page you’ll see Pricing Structure Details and Financials.
A) Pricing Structure Details
Name of Pricing Structure
- Give this a clear, specific name.
- Examples: Single Visit Price, Weekday Daytime, Evening Overage.
Which days is this price applicable?
- Check the days of the week this pricing should apply.
- For an everyday structure, select all days.
- For special pricing (e.g., Weekend Drop-in), select only Saturday and Sunday.
Non-Member Price
- Amount charged per visit for people who are not on a membership plan (or whose plan includes no visits).
Member Overage Price
- Amount charged per visit when a member uses more than their included visits.
- Often lower than the non-member price, but it’s up to you.
Pricing Valid All Day
- Leave checked to apply all day on selected days.
- Uncheck to use time-based pricing and set:
- Start Time / End Time — e.g., 5:00 PM – 9:00 PM for an Evening Rate.
💡 You may also see Active Dates (start/end date) for seasonal or promotional pricing.
B) Financials
These fields tell Connection Card Pro how to record visit charges in your accounting:
- Register Account — Bank/asset register for visit revenue deposits.
- Fund — The fund that should receive this revenue.
- Income Account — Income category (e.g., Gym Visit Fees, Childcare Drop-in Fees).
- Expense Account (optional) — Track related costs (e.g., Program Expenses – Gym).
You can reuse the same accounts as your membership plans or separate them for clearer reporting.
Save when you’re done.
3) Edit or Remove Visit Pricing
From Memberships > Visit Pricing:
- Click Edit to adjust days, times, or prices.
- Click Remove to delete a structure you no longer use.
⚠️ If your kiosk or staff rely on a pricing structure, avoid removing it during operating hours. Prefer adjusting dates/times, or create a new structure and retire the old one after the changeover.
4) How Visit Pricing Is Applied
Visit Pricing is used:
- Automatically at the kiosk/service counter when a visit is recorded
- Manually by staff when adding visits in the membership/visit management area
When a visit is recorded, Connection Card Pro:
- Checks whether the person has a membership and how many visits they’ve used.
- Applies:
- The Non-Member Price if they don’t have a relevant membership, or
- The Member Overage Price if they’ve exceeded included visits.
3. Visits recorded will show in the Attendance Tab of the Person's Profile
If you don’t set any Visit Pricing, visits can still be tracked for attendance, but no per-visit charges will be applied automatically.
5) Examples
Example 1 — Simple Single-Visit Price
You operate a church fitness room. You want:
- $15 per visit for non-members
- $14 per overage visit for members who exceed their limit
Setup:
- Memberships > Visit Pricing → Add New
- Name: Single Visit Price
- Days: Monday–Sunday
- Non-Member Price: 15.00
- Member Overage Price: 14.00
- Check Pricing Valid All Day
- Financials:
- Register: main checking
- Fund: Gym Fund or General Fund
- Income Account: Gym Visit Fees
- Expense: Bank Fees
- Save
Every recorded visit uses this pricing unless you create more specific rules.
Example 2 — Childcare Drop-in (Weekdays Only)
Your church offers weekday childcare:
- Monday–Friday only
- $10 per visit for non-members
- $5 per overage visit for limited-visit members
Setup:
- Add new structure: Weekday Childcare Drop-in
- Days: Monday–Friday only
- Non-Member Price: 10.00
- Member Overage Price: 5.00
- Leave Pricing Valid All Day checked
- Set relevant childcare financial accounts
- Save
At check-in, Connection Card Pro automatically applies these fees based on membership and visit counts.
6) Summary
- Use Visit Pricing when you charge per visit or need overage fees.
- Define applicable days and optional times.
- Set both Non-Member Price and Member Overage Price.
- Map charges to the right register, fund, income account and expense account.
- Charges apply automatically at the kiosk/service counter and can be applied manually by staff.
