Creating Membership Plans

Define plan details, connect accounting, and add tiers & pricing.

Membership Plans are the types of memberships people can subscribe to (for free or for a fee). Each plan can include one or more tiers (e.g., Bronze / Silver / Gold, or Limited / Unlimited) and can be subscription-based, prepaid, pay-as-you-go, or free.

Who is this for? Admins or finance/operations staff in organizations that have the Memberships module enabled.


1) Where to Create Membership Plans

  1. Open the Memberships module in the left menu.
  2. Click Plans.
  3. Click ➕ Add New to create a new plan. Here you will see a list of any existing plans (tiers, included visits and member count).




2) Step 1 — Plan Details & Financial Setup

On the Membership Plan page you’ll see two sections: Membership Plan Details and Financials.

A) Membership Plan Details

  • What do you call this membership (plan)?
    This is the internal and public name of the plan.
    Examples: “Yearly Membership Plan”, “Pay as You Go”, “Organization Membership”.
  • Description (for prospective members to see)
    Short explanation of what this plan includes.
    Example: “Unlimited facility access for 12 months, plus discounts on classes.”

This name and description will appear wherever members or staff choose a plan.

B) Financials

These settings determine how membership transactions are recorded in your accounting.

  • Register Account — The bank or asset register where payments are recorded (e.g., “General Checking”, “Membership Deposits”).
  • Fund — The fund that membership revenue belongs to (e.g., “General Fund”, “Gym Ministry Fund”).
  • Income Account — The income category for membership revenue (e.g., “Membership Dues – Gym”).
  • Expense Account  — Track specific costs/fees related to this membership (e.g., "Bank Fees" or  “Membership Processing Fees”, “Program Expenses – Gym”).

💡 If this plan will only ever be free, you can still select your standard membership income account; transactions will be recorded with a $0 amount.

Save to create the plan and move on to tiers & pricing.


3) Step 2 — Add Tiers & Pricing

After saving the basic plan, define the tiers inside that plan. Each tier can have:

  • Tier Name (e.g., Bronze, Silver, Gold, Limited, Unlimited)
  • Type: Subscription, Prepaid, Pay-as-you-go, or Free
  • Billing schedule for subscriptions (monthly, yearly, weekly, etc.)
  • Price (per month, per year, per visit, etc.)
  • Optional included visits and/or visit limits (for use with Visit Pricing)
  • Internal notes (optional)

🔁 You can create unlimited tiers inside a single plan.

Typical patterns

  • Subscription tier — Auto-renews via your payment processor (e.g., “$49.00 / month”).
  • Prepaid tier — Paid up front, no auto-renew (e.g., “$100.00 / year prepaid”).
  • Pay-as-you-go tier — Often $0/month with visitor charges handled via Visitor Pricing.
  • Free tier — $0/month or $0/year, used for access-based or volunteer memberships, etc.

Save when finished. You’ll return to the View Membership Plan to confirm what you have entered.



4) Step 3 - Create Membership Application

After completing your membership plan setup you will create an Application form for that plan.
  • From Memberships > Plans > Select "Create Application" from the hamburger menu for that plan. Select your Membership plan from the dropdown menu
  • Enter Membership address and any grade or age limits for this registration.
  • Click "Create Registration 


5) Sharing Link for Membership signups 

  • From Memberships > Plans click on "Share" from the hamburger menu
  • Choose the share option you want to use.


 6) Editing or Retiring a Membership Plan

  • Go to Memberships > Plans.
  • Use the Edit (pencil) icon to rename the plan or update its financial settings.
  • Use Remove if you no longer want to offer this plan.

⚠️ If you already have active members on a plan, review how changes will affect them in your account before removing or drastically changing pricing.


7) Practical Examples

Example 1 — Yearly Membership Plan (Limited vs. Unlimited)

You run a community fitness ministry and want:

  • Unlimited Plan for 1 year — $1,700/year subscription
  • Limited Yearly Plan — $850/year subscription (limited visits/month)
  1. Create a plan called “Yearly Membership Plan”.
  2. Description: “Annual gym membership with limited or unlimited visit options.”
  3. Choose your Register Account, Fund, and Income Account for gym membership revenue.
  4. Save the plan.
  5. Add two tiers:
    • Unlimited Plan for 1 year — subscription, annual, $1,700/year, unlimited visits.
    • Limited Yearly Plan — subscription, annual, $850/year, configured with a monthly visit limit; overages handled via Visit Pricing.
  6. Save.
  7. From the hamburger menu select "Create Application" and fill out to create your application

Now staff can share the membership link/QR code/Widget Embed for future members to signup or staff can assign a membership and pick the appropriate tier under “Yearly Membership Plan.”

Example 2 — Organization Membership with Bronze / Silver / Gold

You offer an Organization Membership for your organization or community partners:

  1. Create a plan called “Organization Membership”.
  2. Description: “Monthly membership for partner organizations with tiered benefits.”
  3. Set financials (register, fund, income account for partner dues).
  4. Save.
  5. Add tiers:
    • Bronze Membership — subscription, monthly, $49/month
    • Silver Membership — subscription, monthly, $99/month
    • Gold Membership — subscription, monthly, $149/month
    • Platinum Membership — subscription, monthly, $299/month
  6. From menu to the right of the plan click "Create Application" and fill out and Save.
  7. Share the link/embed widget/QR code for members to sign up or manually add when needed.

8) What’s Next?

  • Assign memberships to people (or organizations)
  • Set up Visitor Pricing (per-visit charges or overage fees)
  • Monitor active memberships & statuses (Active, Past Due, Canceled)
