Member Directory (Personal Hub & Mobile App)

A safe, opt-in directory helps your people connect without exposing private data. This guide explains how the directory works, how to set it up, and how to keep it secure.

What the Directory Is (and Where It Lives)

  • Where members see it: in the Personal Hub and mobile app (they must be logged in and linked to your church).
  • Where admins configure it: Web & App → Hub & App Settings → Member Directory Settings.
  • How it displays: by individual (with optional family/household grouping in the hub UI). For how “family” vs “household” affect grouping, see Households/Families and the Member Directory.
  • Search: members can search by name and, if shown, by address.
  • No export: the member-facing directory can’t be exported.


What Members Can See

  • Names: First & last name are always shown for included members.
  • Optional (member opt-in):
    • Phone & Email
    • Home/Mailing Address
    • Birthday
    • First names of children (listed on the parent’s entry)

Members choose what to show in Personal Hub → Profile → Directory (checkboxes). Admins cannot opt in on a member’s behalf.


Security by Design

  • 18+ only: People under 18 are never included in the directory. (Exception: parents may display the first names of children on the parent’s card.)
  • DOB required: To appear, a person must have a birthday on file to confirm they’re 18+.
  • Classifications gate access: Only people in included classifications may view the directory and be listed in it.
  • Department exclusions: You can exclude entire Departments (e.g., sensitive groups). Members in excluded departments won’t appear—even if their classification is included—except Primary/Secondary Leaders in that department.   • Photos:
    • Photos uploaded by the member in the hub can appear when “Display Profile Photos” is enabled.
    • Photos uploaded by admins are not automatically shown in the directory unless explicitly enabled, so staff can keep internal photos private. (Enable on the Photos tab of a Person's Profile in Admin view)

Setup (Admin)

  1. Open settings: Web & App → Hub & App Settings → Member Directory.
  2. Enable Member Directory.
  3. (Optional) Allow Directory Contact Information.
    • Lets adults opt in to show phone/email, address, birthday, children’s first names.
  4. (Optional) Display Profile Photos.
    • Shows member-uploaded photos in the directory; no photos of minors.
  5. Include Classifications.
    • Check the classifications that should see and be listed in the directory (e.g., Member, Regular Attender, Supporter).
  6. Exclude Departments (recommended for privacy-sensitive teams).
    • Anyone in checked departments is excluded (leaders are the exception).
  7. Save.
  8. Communicate to members how to opt in and choose what shows (see “Member Experience” below).

Permission required: Basic Administration → Modify (to change these settings).


Member Experience (What to Tell Your Church)

Where to opt in: Personal Hub → Profile (top-right) → Directory

Members can toggle:

  • Phone & Email
  • Home/Mailing Address
  • Birthday
  • First Names of Children

How to be included:

  • Be in a classification your church includes for the directory, and
  • Be age 18+ (DOB on file), and
  • Not be in an excluded department.

Photos: How They Show (and Don’t)

  • If “Display Profile Photos” is on, adults’ hub-uploaded photos can appear.
  • Minors’ photos never display in the directory.
  • Admin-uploaded photos are internal by default; an admin must explicitly enable use in the directory if desired.
Automatic Photo Moderation
All photos uploaded as a person's profile are automatically moderated using AI-powered photo moderation. Photos which are determined to be explicit will be automatically deleted. This moderation may sometimes but rarely falsely flag innocent photos, we appreciate your understanding, as employing AI-powered photo moderation protects your church, members, staff as well as our own staff.

Please do not test this! Users or accounts uploading explicit material may be banned and could face criminal investigation / charges.

Admin Tools & Checks

  • Preview the directory as an admin by opening your Personal Hub → Directory.
  • See an individual’s directory status on their admin profile (shows whether they’re included and what they’ve opted to show). It also reminds you: only the member can change their opt-in items.

Troubleshooting checklist (why someone isn’t appearing):

  • Not logged in / not linked to your church
  • Under 18 or no birthday on file
  • Their classification isn’t included
  • They belong to an excluded department
  • Directory is disabled organization-wide

  • Start narrow; widen later. Begin with adult-only classifications (e.g., Member, Regular Attender) and enable contact info opt-in.
  • Exclude sensitive departments. Protect vulnerable groups by default.
  • Require birthdays during onboarding. It’s necessary to determine 18+ status.
  • Announce the directory launch with a how-to: where to opt in, what’s visible, and how to update contact info.
  • Use clear language: “Only logged-in church members in selected classifications can view the directory. Your contact details are shown only if you choose to share them.”

FAQ

Can admins force a member’s contact info to appear?
No. Admins can include people via settings (names only), but members must opt in for phone/email/address/birthday/children’s names.

Can we export the directory?
No export from the member-facing directory. Admins can always export directory and contact information through a number of admin options. 

Why can’t I find a person by name?
Check their classification, DOB (18+), and department exclusions. Also ensure they’re linked and logged in.

How are families displayed?
