Creating Manual Event Registrations as an Admin

Admin users can manually create event registrations from the admin area. This is useful when staff need to register someone directly or make an exception that is not available through the public registration page.

When to use a manual registration

Manual registrations are helpful when:

  • A participant is outside the public age or grade restrictions
  • Registration has not opened yet
  • Registration is already closed or suspended
  • The event is full
  • Staff are registering someone on their behalf
  • Payment will be collected later
  • A discount or special arrangement should be handled by an admin

Where to create a manual registration

  1. Go to Events > View Events.
  2. Find the event.
  3. Click the Registrations button for that event.
  4. On the event’s registration page, click New Registration in the top-right.

You’ll see the same registration form, but with admin-only advantages.

What admins can bypass

When an admin creates a registration manually:

  • Age and grade restrictions are not enforced
  • Payment is not collected during registration, even if payment is normally required
  • Admins can register someone when registration is not open yet
  • Admins can register someone after registration is closed or suspended

This lets staff make appropriate exceptions while still keeping a complete registration record.

Payment behavior for manual registrations

Manual admin registrations still create a full and proper registration.

If the event has a cost, the registration will show a balance owing.

After the registration is created, an admin can:

  • Manually record a payment
  • Manually record a discount
  • Send the payment link to the registrant so they can pay online

This is helpful when payment will be collected by cash, cheque, e-transfer, or later online payment.

Full events and waiting lists

If the event is full and a waiting list is enabled, the manual registration will still be added to the waiting list.

However, admins can manually promote a specific registration from the waiting list into the event, regardless of the order of people on the waiting list.

This gives staff flexibility when a specific participant has been approved for an exception.

Example: Approved age exception

Your youth retreat is limited to ages 13–18, but the youth pastor approves a mature 12-year-old sibling to attend.

A parent would not be able to complete the public registration because the participant is outside the age range.

An admin can:

  1. Open the event’s Registrations page.
  2. Click New Registration.
  3. Complete the registration manually.
  4. Record payment, apply a discount, or send the payment link afterward.

Example: Registering someone after registration closed

Registration closed yesterday, but a staff member approves one more participant.

An admin can:

  1. Go to Events > View Events.
  2. Click Registrations for the event.
  3. Click New Registration.
  4. Complete and save the registration.

The registration is added even though the public registration page is no longer accepting new registrations.
